Toast
Fixing someone's hours
Hours live in Toast. This site never keeps its own copy, so an hours fix always starts there.
- Correct the shift in Toast — the time entry itself.
- Set the range here to that week, then press Refresh from Toast.
- Wait about a minute. This page reloads itself with the new numbers.
- Check the shift detail and the per-person table. The pot does not change; only who shares it does.
- If the week was already approved, press Approve tips again before uploading. A changed payout voids the old approval, and a fresh approval has to go up again.
Fixed within the last three days? The 5:00 AM import brings it in on its own. Anything older needs Refresh from Toast. Recalculating makes a new run and keeps the old one as it was. Tips already sitting in a submitted Gusto payroll cannot be changed there; the difference goes on a later payroll as a correction.
Paying a week
- Load the week on Tips.
- Approve tips records the exact numbers. Nothing reaches Gusto before this.
- Upload approved tips to Gusto puts them on that week's draft — tips only. Hours and wages in Gusto are left alone.
- Submit the payroll in Gusto. Nothing here can submit it.
- Close this week marks the week paid and starts this page clean on the next one.
Adding a person
- On Users, type their email, choose Viewer or Admin, then press Send invitation.
- They get an email and set their own password. Nobody here ever sees it.
- Wait about a minute for the Spark, and they appear in the list.
Remove takes away their sign-in here. It does not touch Toast or Gusto.
